Our classes, workshops, and special events are led by contemplative masters and scientists, fringe scholars and somatic wizards, imaginal artists and seasoned psychonauts. About the Role
The part-time, Program Assistant is a critical role within the Berkeley Alembic. If you have previously helped with the production of classes at wellness, fitness or yoga studios, and are ready to support a broader variety of instructors, you will love this role. If you possess a passion for creating a magical space, great organization skills and flexibility in your schedule, this hands-on position focuses on helping instructors deliver their classes with easy-to-use audio/video support and room setup and breakdown – while greeting and registering class attendees and community members.
Essential Duties and Responsibilities
Community Building (30%)
Greet all instructors, class attendees and Alembic members upon their arrival.
Leads orientation of new attendees, members or visitors about facilities and calendar
Socializes with members before/after class and promote other classes/events.
Networking attendees with each other before and after all classes by greeting attendees and members by name and spending quality time fostering community.
Ensures all attendees and members are on Momence or if not, help set up account.
Supports Alembic Leadership in promoting membership engagement including attendance growth and community building.
Supports maintaining an appropriate level of inventory so that all amenities are available.
Maintain familiarity with all upcoming classes and events.
Post and promote upcoming Alembic classes and events on social media (or do other light marketing) as appropriate and requested.
Provide guidance on memberships, guest passes and upcoming classes or new instructors.
Actively recruits and trains new volunteers.
Pre-Class Support (30%) – usually done while classes are in session
Reviews the instructor form for upcoming classes or events to understand set up of camera and other AV technology as well as seating or other materials as needed for classes.
Communicates with instructors and manager via email, phone and before class to understand and confirm the variable needs for class and room set up.
Arrives for events 60 minutes before the start of first class to unlock building, turn on lights, confirm building is ready for guest arrival.
Set up each class according to written instructions and verbal instructor guidance.
Tests, cleans, maintains AV equipment.
In- and After-Class Support (30%)
Greets all instructors, members and attendees as they come in for class.
Confirm class set up is correct with instructor before beginning attendee registration.
Registration of all participants in through Momence and support easy on-site enrollment.
Follow proper procedures or alert supervisor for members preferring cash payments.
Promotes other instructors and events during class intro/closing.
Troubleshoots technology issues as they arise.
Returns all material back to original spot and ensure cleanliness through running dishwater, sweeping/vacuuming and taking out trash after class.
For final shifts, stay at least 60 minutes after class or event to lock-up building.
Ongoing oversight (10%)
Collaborates with Program Manager and Managing Director about any systemic issues and ideas to improve the Alembic.
Attend weekly organization wide, production planning meetings w/ supervisor and peers.
Completes assigned training (HR, finance, and other) within established timelines.
Utilizes Gusto to create and manage accurate timecards.
Qualifications and Requirements
Previous experience in event and class production, with A/V equipment is a plus
Availability to work set schedule hours or flexible schedule with advance notice, including evenings, weekends, and select special events
Ability to work independently while collaborating with others
Ability to lift up to 25 lbs
Experience using Google drive, MS Word, Social Media, YouTube, etc
Experience working with CRM systems to manage customer data
Momence experience is a plus
Passion for meditation and movement practices
Compensation and Benefits
This is a part-time position (15-18 hours/week) with a set schedule. The Program Assistant must have flexibility to work on weekends and evenings. This role is entirely in person in Berkeley, CA.
Compensation range is $20-$30 per hour.
